Cancellation & Refund Policy
Plans change, we understand. Here’s how cancellations, refunds and date changes work.
Last updated: [date]Template text. Fill in your actual cancellation charges (highlighted), review with a legal adviser, then remove this note.
1. How to cancel
Cancellations must be made in writing, by email to enquiry@gajanantourism.com or on WhatsApp, by the lead traveller. The date we receive your message is the cancellation date.
2. Tour packages
For tour packages, the following charges apply per person, based on how many days before departure you cancel:
| When you cancel | Cancellation charge |
|---|---|
| More than [60] days before departure | [Advance amount / ₹X] |
| [59–30] days before departure | [X]% of the tour price |
| [29–15] days before departure | [X]% of the tour price |
| Less than [15] days, or no-show | [100]% of the tour price |
Some hotels, peak-season dates and special events have stricter, non-refundable terms. These will be shown on your quote before you book.
3. Flights & cruises
Air tickets and cruises follow the airline’s or cruise line’s own fare rules, which may include non-refundable fares. A service fee of [₹X] per ticket may apply for processing cancellations.
4. Visa fees
Visa fees and service charges are paid to embassies and visa centres and are non-refundable, whatever the outcome. If your visa is refused, the tour cancellation charges above apply, after deducting the costs already incurred.
5. Refunds
Refunds are made to the original payment method within [X] working days of us receiving the refund from suppliers. Bank charges and taxes already paid to the government may not be refundable.
6. Date changes
Want to move your trip instead of cancelling? Ask us first. Changes are often possible, subject to availability and any supplier fees, and can cost less than cancelling.
